The short answer

A wedding guest list spreadsheet works best with one row per guest, grouped by a household ID, and columns for mailing address, RSVP, meal choice, dietary needs, adult or child, plus-one status and table number. Built that way, one sheet gives you the invitation count, the caterer's headcount and meal totals, and the numbers for seating and rentals.

Should a wedding guest list have one row per guest or per household?

Use one row per guest and give each row a household ID. Meals, seats, dietary needs and children's pricing belong to individual people, while invitations, addresses and postage belong to households. With a household ID on each row you can count either one without keeping two lists in step.

Give an unnamed plus-one a row of their own, labeled something like "Guest of Sam Lee", so they are counted for a chair and a meal from the start. Include yourselves and the wedding party too; ask the caterer whether the two of you count in the final headcount, and record the answer.

What columns should a wedding guest list spreadsheet have?

Start with the columns that get invitations out. Store the mailing address once per household, on the first row for that household, and keep the name as it should appear on the envelope separately from first and last name. A column for which events each guest is invited to helps if the rehearsal dinner or welcome party has a different list.

Add status columns you can filter: save-the-date sent, invitation sent, and the date each was sent. A group column (whose side, or family, friends, work) is useful while you are still deciding who to invite.

Which RSVP and seating columns does the caterer need?

After invitations, the sheet has to produce numbers for vendors. Ask your caterer which categories it counts and prices separately, then add a column for each: RSVP status, meal choice, dietary or allergy notes, adult or child with the caterer's age band, and whether a child needs a high chair or booster seat. Add plus-one status and a table number.

Use drop-down values for RSVP (yes, no, pending) and meal choice so totals add up cleanly. A typed note like "prob yes" will not count anywhere.

How do I count guests on a wedding guest list spreadsheet?

Count distinct household IDs for invitations and postage, and count rows for guests. For example, a hypothetical list of 142 guests in 78 households needs 78 invitations, plus any extras you choose to order. If 118 guests reply yes, 16 reply no and 8 are pending, 118 + 16 + 8 = 142, so all 142 rows are accounted for.

Then check that meal totals match attendance. If the 118 attending guests chose 52 chicken, 44 fish, 14 vegetarian and 8 children's meals, 52 + 44 + 14 + 8 = 118. If the meal total comes to 115, three attending guests have no meal choice yet; filter for "yes" with a blank meal to find them.

How do I rank or prioritize a wedding guest list?

Add a priority column before you cut anyone. A simple scale works: 1 for guests you would invite at any size, 2 for guests you want if the budget and venue allow, 3 for guests who would be invited only at the largest size you are considering. Each of you can rank separately in two columns, then agree a shared value, so neither ranking overwrites the other.

Filter by priority to see what each list size means. For example, if a hypothetical list has 96 guests ranked 1, 30 ranked 2 and 16 ranked 3, the three sizes are 96, 126 and 142. Compare each against the venue capacity and the per-guest cost from your quotes, and decide which size to invite before invitations go out.

How do I turn the guest list into numbers for vendors?

Add a summary tab that counts from the main list rather than being typed by hand: attending adults and children by the caterer's categories, meal choices, dietary requests and, if the caterer asks, meals by table. Keep vendor meals on their own line; vendors are not guests and belong in a separate count.

Rentals come from the same numbers. For example, 118 attending guests at tables of 8 need 118 / 8 = 14.75, so 15 tables at minimum, and more if you seat households together and some tables end up with empty seats. Who should be able to see the wedding guest list?

A guest list holds addresses, phone numbers, children's names and ages, and allergy or health details. Limit edit access to the people maintaining it, share view-only or filtered copies with anyone else, and avoid posting the full sheet in a group chat or public link.

Send each vendor only what it needs: the stationer needs names and addresses, the caterer needs counts, meal choices and dietary notes by name or table, and neither needs the other's columns. After the wedding, remove shared access and delete the details you no longer need.
