How do you calculate a wedding venue estimate?
Start with rental and access, then add food and beverage for your guest count, any adjustment to the entered minimum, the service charge on its stated base, and separately quoted tax and extras. Subtract payments already made only when calculating the remaining balance.

The calculation, in plain sight
- Guest subtotal = guest count × food-and-beverage price per guest.
- Food and beverage = the larger of that subtotal and the minimum you entered.
- Service charge = your percentage × the base you select, rounded once to the nearest cent.
- Estimate = rental + food and beverage + service charge + separate tax + extras.
- Remaining against the estimate = estimate − payments entered, floored at zero.
For the labeled example in the calculator, 100 × $80 is $8,000. A $9,000 minimum adds $1,000. Rental of $3,000, a 20% service charge on the $9,000, $600 of separate tax and $400 of extras produce $14,800. With $2,000 already paid, $12,800 remains against that example estimate.
Where this model stops
The minimum is modeled as a floor on food and beverage before the service charge. It does not model minimum guest counts, tiered menus, different meal prices, compounding fees, tax rules or consumption-based bars. If your proposal uses those terms, get an itemized total from the venue.
A service charge is not automatically a gratuity. Confirm its treatment with the venue. The entered tax amount is added as a dollar figure; this tool does not decide whether or how a tax applies. Deposits and a possible refund should be checked separately.

Common questions
Does this show an average wedding venue price?
No. It calculates a scenario from your inputs. The example numbers are illustrations, not research about typical prices.
Are deposits part of the total or an extra charge?
The payments field reduces the remaining balance against the estimate. It does not add to the price. Keep a separately refundable security deposit outside the service-price comparison and track its cash timing in your payment schedule.
