How many tables and chairs do you need for a wedding?
Subtract head table seats from your guest count, divide by the seats per table your rental company or venue confirms, and round up. Add the head table, vendor tables and tables for cake, gifts or music. For chairs, count everyone seated, add ceremony chairs unless the same chairs are moved, then add spares. Subtract what the venue includes to see what to rent.

The calculation, in plain sight
- Guests = adults + children.
- Guests at guest tables = guests − head table seats.
- Guest tables = guests at guest tables ÷ seats per table, rounded up.
- Head table = 1 if head table seats is above 0, otherwise 0.
- Vendor tables = vendors ÷ seats per table, rounded up.
- Total tables = guest tables + head table + vendor tables + tables for other uses.
- Reception chairs = guests + vendors.
- Chairs for seating = reception chairs + ceremony chairs. If the ceremony chairs are moved to the reception, it is the larger of the two instead.
- Total chairs = chairs for seating + extra chairs.
- Linens = total tables × linens per table.
- To rent = needed − venue includes, floored at zero. Included beyond need = venue includes − needed, floored at zero.
In the labeled example, 118 adults and 8 children make 126 guests. Ten sit at the head table, leaving 116 at guest tables. 116 ÷ 8 is 14.5, so that is 15 guest tables with 4 open seats. Adding 1 head table, 1 table for 6 vendors and 5 tables for other uses gives 22 tables.
The 126 guests and 6 vendors need 132 reception chairs. With 124 ceremony chairs that are not moved, chairs for seating come to 256, and 4 extra chairs make 260. At 1 linen per table, that is 22 linens. With 16 tables, 150 chairs and 30 linens included by the venue, the count to rent is 6 tables, 110 chairs and 0 linens, with 8 linens included beyond need. If the ceremony chairs were moved instead, the total would be 136 chairs.
Where this model stops
It does not know how many people fit a table of a given size or shape. The seats-per-table figure is yours to enter; confirm it with your rental company or venue, along with the room layout, aisle space and accessibility needs.
One seats-per-table figure is used for guest and vendor tables. If you are mixing table shapes or sizes, run the count once per table type, or enter the other tables under tables for other uses. A head table is counted as one table; if yours is built from several rental tables, add the others there too.
Linens are counted at one rate per table, including cake and gift tables. Sizes, drop lengths, napkins and chair covers are not modeled. Venue inclusions are compared by count only: the calculator does not check that included tables are the right size or that included chairs can be used for an outdoor ceremony.
A guest count can change until the final count is due. Recount when it does, and check the deadlines in your agreements before placing a rental order.
Common questions
How many guests fit at a wedding table?
This calculator does not assume a figure. Seating depends on the size and shape of the table, the chairs, the place settings and the centerpieces. Ask your rental company or venue how many seats they confirm for the tables you are ordering, then enter that figure.
Are head table guests part of the guest count?
Yes, in this calculator. Include the head or sweetheart table guests in the adults and children, then enter the head table seats. The calculator takes them out before counting guest tables and adds one head table.
Do vendors need their own chairs and table?
Only if they are getting a seated meal and you are providing the seating. Check the vendor agreements for meal and break terms, then enter the vendors who will sit at their own table. They are added to the chairs and counted into vendor tables at the same seats per table.
Can ceremony chairs be reused at the reception?
That depends on the venue, the timing and the staff available to move them. Check the box if yours will be moved; the calculator then uses the larger of the ceremony and reception chair counts instead of adding them. Confirm the plan, and whether a fee applies, with the venue.
What if the venue includes more than I need?
The comparison shows the difference as included beyond need, and the count to rent stays at zero. The calculator does not suggest a refund or credit for unused items; ask the venue if that matters to you.
How many linens do I need?
Linens equal total tables times the linens per table you enter, so cake, gift and DJ tables are counted too. Enter 2 per table for a cloth and an overlay. Confirm linen sizes and drop length with your rental company.
