The short answer
A wedding welcome party is a gathering before the wedding day, such as the evening before, for guests who have arrived in town. To plan one, decide who is invited and whether it replaces or adds to the rehearsal dinner, estimate attendance from your own guest list, choose a format and a place, and get the minimum, count deadline, service charge and end time in writing.
What is a wedding welcome party, and who is invited?
A welcome party is a gathering before the wedding day, such as the evening before, for guests who have arrived in town. It may be open to all wedding guests or only to those traveling, and it can be as simple as drinks and snacks or as full as a dinner. The choice sets the headcount, and the headcount sets nearly everything else.
Decide the guest list first and write it down: everyone invited to the wedding, only out-of-town guests, or out-of-town guests plus the wedding party and close family. Guests talk to one another, so a list with a clear rule is easier to explain than one drawn case by case.
Wedding welcome party vs rehearsal dinner: replace or add?
You can hold both, combine them, or hold them back to back: a small rehearsal dinner for the wedding party followed by a larger welcome gathering in the same place. Combining them means one booking, one minimum and one set of decisions. Keeping them separate lets the rehearsal dinner stay small and seated while the welcome party stays loose.
If you hold both on the same evening, check the timing dependencies: when the rehearsal ends, how long it takes to reach the dinner, and when welcome party guests will arrive. Ask each venue what happens to your time block if the first event runs late.
How much does a wedding welcome party cost? Work it out
A wedding welcome party has no single cost you can rely on, because the total depends on the headcount, the format, the food and bar, the venue minimum, the service charge and tax. Work it out from a written quote for your own date.
Start from the invited list, then estimate attendance from what you know about your guests' travel plans. For example, a hypothetical party invites 140 and you estimate 100 will come. With a food package at $38 per person and a bar estimate of $22, the base is 100 x ($38 + $22) = $6,000. A 22% service charge adds $1,320, for $7,320, and an 8% tax on that total adds $585.60, for $7,905.60.
Check two things in your own quote. First, whether tax applies to the service charge, which depends on your state and the charge itself. Second, whether the venue requires a guaranteed minimum count. If it requires 120 and only 100 attend, the base is 120 x $60 = $7,200 rather than $6,000, before service charge and tax.
Where can you hold a welcome party, and what should the booking say?
Options include an event space at the hotel where guests are staying, a restaurant or bar with a private area, a brewery or winery, or a private home. A hotel space is convenient for guests; ask whether the event is in the same contract as your room block, because cancelling one could affect the other. A private home may need rentals, a caterer, parking plans and a check of local rules on noise and gatherings, which vary by place.
Whatever the location, get the booking in writing with the items below. The rehearsal dinner checklist covers the same contract terms in more depth.
- Space name, date and time window
- Food and beverage minimum or room fee
- Guaranteed count and its deadline
- Menu, bar billing and any tab cap
- Service charge, its base, and tax
- End time and charge for staying later
- Deposit and cancellation terms
- Link to any room block contract
What should a wedding welcome party invitation say?
Put the date, time window, place and dress code on your wedding website and, if you are sending paper invitations, on an insert. For a drop-in format, write it as a window, such as "stop by any time between 7 and 9 p.m.", so guests arriving late in the day know they are still welcome.
Add a separate question to your RSVP form asking whether each guest will attend the welcome party. Set the RSVP date so you have the answers before the venue's count deadline, and list the welcome party in welcome bags and on any shuttle schedule.
How long should a welcome party be?
A welcome party can be as long as your other commitments allow. Work out the window from guest arrival times, the rehearsal, any deliveries to the hotel, and when you need to be asleep before the wedding day. Check the hours in the booking too, since a venue may price by the hour or charge for staying later. An end time you set, and share with a trusted point person, helps the evening close on schedule.
Name someone other than yourselves to greet the venue manager, handle the tab and settle the bill. That keeps you with your guests and keeps the paperwork with someone who can answer questions about it.

Common questions
Is a welcome party the same as a rehearsal dinner?
A welcome party is not the same as a rehearsal dinner. A rehearsal dinner follows the rehearsal and is for the people taking part in it, while a welcome party is for a wider group of guests who have arrived for the wedding. You can combine them, hold them back to back, or hold only one.
Do you have to invite all your wedding guests to the welcome party?
Inviting all your wedding guests to the welcome party is your choice. Decide on a clear rule, such as all guests or all out-of-town guests plus the wedding party and close family, write it down and apply it consistently, so the guest list is easy to explain and the headcount is easy to estimate.
Who pays for the wedding welcome party?
The wedding welcome party is paid for by whoever agrees to host it, and whoever signs the booking is responsible for the bill. If a relative is hosting, agree who signs, whose card is on file and who settles the tab on the night before the venue sends the contract.
What is the dress code for a wedding welcome party?
The dress code for a wedding welcome party is whatever you choose and state, so guests know what to pack. Pick a few plain words that fit the place and the weather, such as casual or cocktail, and put them on the invitation or insert and the wedding website next to the time and place.
What activities can you plan for a wedding welcome party?
Activities for a wedding welcome party can be as simple as name tags, a short welcome from the two of you, lawn games or a playlist. Check the venue rules and the booking before planning anything that needs space, power, sound or an extra vendor, and add any cost to your estimate.
Should the welcome party have a hosted bar?
A hosted bar at the welcome party depends on your budget and the venue's billing options. A hosted tab with a cap, beer and wine only, or a set number of drink tickets are three ways to set a limit. Ask the venue how each option counts toward any minimum, and get the cap in writing.
How do you estimate attendance for a drop-in welcome party?
Attendance for a drop-in welcome party can be estimated from a separate question on the RSVP form, treated as an estimate rather than a count. Compare it with the count the venue requires you to guarantee, and plan the budget on the higher of the two, since the guarantee may be billed whoever attends.
