Wedding rental delivery and pickup: how windows work

Delivery and pickup windows that fit your venue’s hours, with a named person to receive and count items and a clear answer about who holds them overnight.

The short answer

A wedding rental delivery window is the span of time in which the rental company may arrive, not a set arrival time, and pickup works the same way. Check that each window sits inside your venue’s access hours, what a narrower or after-hours window costs, who will receive and count the items, and who is responsible for them between delivery, the event and pickup.

What does a rental delivery window mean?

A rental order may say "delivery window 8:00 a.m. to 2:00 p.m." That means the truck may arrive at any point in those six hours, not at 8:00. Some orders promise a narrower or timed delivery for an added fee. Copy the window from the order or delivery confirmation, and ask when the exact arrival time is confirmed, such as the day before.

Check the dates as well as the times. A company may deliver the day before the wedding and pick up the day after, especially for weekend events. Note both dates, because each one needs the venue to be open and someone present. Ask whether the pickup date can change if your event runs late.

How do I fit rental windows to the venue’s access hours?

Put the venue’s access hours and the rental windows on one line of your timeline. The whole delivery window needs to sit inside the time the venue is open to vendors, and the pickup window inside the time the venue allows items to stay. For example, if a hypothetical venue opens to vendors at 10:00 a.m. and the rental window is 8:00 a.m. to noon, two of those four hours fall before anyone can let the driver in.

Then check the other vendors. If the caterer needs the tables in place to set up by 2:00 p.m. and the rental window closes at 2:00 p.m., there is no room for a late truck. Ask the rental company for an earlier or narrower window, or ask the venue whether it can open earlier and at what cost.

How are wedding rental delivery and pickup fees charged?

Look for separate lines for delivery, pickup, setup, breakdown, timed or narrow windows, early morning, late night, weekend or holiday service, long carries from the truck, stairs or elevators, and a return trip if the venue is not open when the driver arrives. Each may be priced per trip, per hour or per item.

For example, a hypothetical order lists delivery and pickup at $150 each way, a late-night pickup fee of $200, and a stairs fee of $75 each way. That is $150 x 2 = $300, plus $200, plus $75 x 2 = $150, for $650 in delivery-related charges. Moving the pickup to the next morning might remove the $200 fee, if the venue allows items to stay overnight.

Does delivery include setting up the rentals?

Check whether delivery means leaving items at a loading door or placing them where they will be used. Tables and chairs "delivered" to a dock may still need to be carried in, unfolded and arranged, which takes people and time. If setup is included, ask what it covers: placing tables, setting chairs, dressing linens, or only unloading.

Ask the same about breakdown. The order may expect items to be stacked, folded, bagged or returned to crates before pickup. If the caterer or venue staff are doing that work, confirm with them in writing, because it may not be in their contracts. Add their names to your worksheet.

Who receives and counts the rentals when they arrive?

Name one person to meet the truck, count the items against the order, note anything damaged or missing on the delivery slip, and take photos before signing. That might be your planner, the venue coordinator or a friend with the order in hand. If nobody is there, ask the rental company what happens: some may leave items unsigned, and some may not deliver.

Do the same at pickup. A count at both ends, with photos and a signed slip, is the record you will use if the company later bills for something missing or damaged. If you cannot be there at pickup, ask the venue whether its staff can count items with the driver and send you the slip.

Who is responsible for rentals overnight or if the truck is late?

Check the order for when responsibility passes to you and when it passes back, and check the venue contract for whether items may stay overnight and whether the venue locks the room. If items delivered on Friday sit in an unlocked space until Saturday, ask the venue and the rental company in writing who is responsible for them.

Ask what happens if the truck is late or misses the window, and who to call. Save the dispatcher’s number in your day-of contact sheet. For questions about insurance on rented items, rules vary by state and by policy, so speak to a licensed insurance professional in your state.

A message you can make your own

Change the wording to suit you, fill in anything in brackets and keep the questions that apply. You decide what to send and send it yourself.

Thank you for the rental order. Our venue is open to vendors from [time] on [date], and items must be removed by [time] on [date]. Could you confirm delivery and pickup windows that fall inside those hours, and any fee for a narrower window, late pickup, stairs or a return trip? Does delivery include placing the items, or only unloading? What condition should items be in for pickup? Please also send the dispatcher’s number for the day. Thank you.

Common questions

Can I get an exact delivery time for wedding rentals?

An exact delivery time for wedding rentals is available only if the rental company offers one, sometimes as a timed or narrower window for a fee. Some companies confirm an arrival time the day before. Ask which applies, get the window in writing, and save the dispatcher’s number on your day-of contact sheet.

Can rentals be delivered the day before the wedding?

Rentals can be delivered the day before the wedding if both the rental company and the venue agree. Ask the venue whether the space is available that day, whether it is locked overnight, and who is responsible for the items until the event. Get both answers in writing, and check whether an extra rental day is charged.

How much is delivery for party rentals?

Party rental delivery has no single price you can rely on; the rental company sets it on the order. The amount can depend on distance, the size of the order, timed or after-hours windows, stairs or long carries, and whether setup is included. Ask each company for a written quote with delivery and pickup as separate lines, then compare the totals for the same windows.

Do you tip party rental delivery drivers?

Tipping party rental delivery drivers is your choice unless the order already includes a gratuity or delivery service charge. Check the invoice for such a line first. If you plan to tip, decide the amount in advance, put it in a labeled envelope, and give it to the person who will meet the truck so it is not forgotten on a busy morning.

What if no one is at the venue when the rental truck arrives?

A rental truck that arrives with no one to meet it may leave, leave items unsigned, or charge a return trip, depending on the order. Check the order for those terms. Name a person to meet the truck, give the rental company that phone number, and ask whether the driver can call that person when on the way.

Do I need to stack chairs and fold tables before pickup?

Stacking chairs and folding tables before pickup is needed only if the rental order sets those return conditions. Check whether items must be stacked, bagged or crated, and confirm in writing who will do the work, since it may not be in the venue or caterer contract. Add that person to your pickup plan.
