The short answer

The final wedding payment is due on the date or trigger each contract names, such as a number of days before the event or a set time after the final count, and the contract may require it to be received, not sent, by then. List each final amount, including balances, final-count invoices, add-ons, security deposits and tips, then check each invoice, confirm payment details and get a receipt.

Which wedding payments are due before the wedding?

Read each contract for the payments that remain after the deposits. These may include the remaining balance, a separate invoice issued once the final guest count is in, charges for items chosen late such as extra hours or rentals, a refundable security deposit, and fees for things like a cake cutting or corkage that are billed with the balance.

Add the payments no contract lists but you still intend to make: tips, cash for a vendor who is paid on the day, and a small float for anything approved on the day, such as overtime. Put all of them on one run sheet so nothing depends on memory in a busy week.

  • Remaining balance for each vendor
  • Final-count invoice from caterer or venue
  • Add-ons and late changes
  • Security or damage deposits
  • Delivery, setup and pickup fees
  • Tips and day-of cash
  • Overtime that may be approved on the day

How do final wedding payments work? Map what comes first

Some final payments cannot be made until something else is done. A caterer may issue its final invoice only after you submit the count; a venue may need your timeline to bill the hours; a florist may need final choices to price the order. Map these steps for each vendor and work back from your own dates to see how much time sits between them.

For example, take a hypothetical wedding on Saturday, June 5, 2027. The caterer needs the final count 21 days before, on Saturday, May 15, and payment 10 days before, on Wednesday, May 26. That leaves eleven days to receive the invoice, check it, ask any questions and pay. If the RSVP date is too close to May 15, the count is rushed, and so is everything after it.

What should you check on a final invoice before paying it?

Check the count and quantities against what you submitted, the unit prices against the contract and any addenda, the service charge and tax against the bases the contract names, and the deposits and installments against your own payment ledger. The guide to checking a wedding invoice before paying walks through each step.

If something does not match, ask the vendor in writing straight away, because the time between invoice and due date may be short. Ask for a corrected invoice rather than a verbal assurance, so the figure you pay and the figure on the document are the same.

How do you confirm payment details before a large payment?

Pay the business named in the contract, using details you already have from the contract, the invoice portal, or an earlier payment that the vendor confirmed. If an email arrives with new bank details or a request to pay a different account, call the vendor on a number you already have, not one in that email, and confirm before you send anything.

Allow time for the method you are using. A mailed check, a bank transfer and a card payment arrive on different timelines, and your contract may say payment must be received, not sent, by the due date. Ask your bank or card issuer whether a payment of that size could meet a limit or a fraud hold.

How do you keep track of final wedding payments?

Keep all your final payments on one run sheet, sorted by the date you need to send it rather than by vendor. For each row, record the amount, the due date or trigger from the contract, whether the contract means sent or received, the method, and the date you will send it once the method's timing is allowed for.

Give each row one owner, especially if a parent or relative is paying part of the bill, and fill in the date paid and the receipt as each payment goes out. A row with an owner and a date is harder to miss than a balance you mean to pay. After the wedding, move the confirmations to your payment log with the contracts.

Which payments happen on the wedding day, and who handles them?

Keep day-of payments to what cannot be settled earlier: tips, cash for a vendor whose contract says payment on the day, and any overtime you approve. Prepare labeled envelopes in advance with the vendor name, the amount and what it is for. Record each one on the run sheet so you know what was handed over.

Name one person to hand out envelopes and to approve or decline overtime within a limit you set. Give them a copy of the run sheet and the overtime rates from each contract. Ask them to note any approval with the time and the name of the vendor who asked.

What should you get back after each final payment?

Ask each vendor to confirm by email that the payment arrived and that the balance is zero, or to say what remains and why. Save that confirmation with the receipt and the invoice. A zero balance in writing is what you want if a reminder arrives later by mistake.

Also note what is still to come after the wedding: a security deposit to be returned, an invoice for overtime or damage, a final statement. Put the expected dates on your calendar from the contract wording, so each one has a follow-up date rather than waiting to be remembered.

A message you can make your own

Change the wording to suit you, fill in anything in brackets and keep the questions that apply. You decide what to send and send it yourself.

We are preparing our final payments for our wedding on [date]. Could you confirm the remaining balance, the date it must be received, the payment methods you accept and any fee for each, and the payee name we should use? If a final invoice depends on our guest count or other choices, please tell us when you will send it. Once payment arrives, we would be grateful for an email confirming receipt and a zero balance.

Common questions

When are wedding payments due?

Wedding payments are due on the dates each contract sets, which may be a deposit at signing, installments on named dates, and a final payment a set number of days before the event or after the final count. Read each schedule, note whether a date means sent or received, and put all the dates on one calendar.

Can you pay the final balance on the wedding day?

Paying the final balance on the wedding day depends on the contract allowing it. If the contract gives an earlier date, pay by then, and keep the day itself for as few payments as possible. For payments the contract does allow on the day, prepare labeled envelopes and name one person to hand them over.

What if the final wedding invoice arrives late?

If the final wedding invoice arrives late, contact the vendor in writing, note the due date in the contract, and ask when the invoice will arrive. If the delay leaves no time to check it before the due date, ask whether the due date can move, and keep their answer with the contract.

Should you pay the final balance before checking the invoice?

Paying the final balance before checking the invoice makes any error harder to fix, since asking for money back is slower than asking a question first. If time is short, check the count, the unit prices and the deposits credited first, since those carry the largest figures, and send any question in writing.

What happens if you miss a final wedding payment?

What happens if you miss a final wedding payment depends on the contract, which may set a late fee, a grace period or a right to cancel. Contact the vendor in writing as soon as you know, ask what the contract allows, and get any new date confirmed by email. Rules on late payment vary by state.

Do you get the security deposit back before or after the wedding?

A security deposit is returned after the wedding, on the time frame and conditions the contract sets. Record the time frame it gives, set a follow-up date on your calendar, and ask for an itemized list of any deductions, so you can compare them with the contract and your own photos of the space.
